Overview

DvSum provides administrators and owners with a robust set of features for adding and managing users. The Users page displays a list of existing users along with key details, including Email, User Group, Status, Modified By, Modified On, Expiration Date, and Last Login.

This guide is designed for administrators responsible for managing user access and permissions in DvSum.

Adding New Users

When adding a new user, administrators can define the Start Date and Expiration Date for their account. These settings cannot be modified by the user:

  • The Start Date determines when the user gains access to the application.
  • The Expiration Date restricts access after the specified date unless an administrator extends it.

By default, the Start Date is set to the current date, and the Expiration Date is set one year later. Both fields can be edited by an administrator.

Steps to Add a New User

  1. Navigate to Administration > User Management > Users.
  2. Click Add User.
  3. Enter the user's Email and assign a User Group.
  4. Set the Start Date and Expiration Date.
  5. Click Save to complete the process.

Note: By default, the "Start Date" is set to the current date, and the "Expiration Date" is set to one year later. Both of these fields are editable.

 

Editing and Deactivating Users

User access is restricted to the period between their designated Start Date and Expiration Date. Administrators can manage user access through the Actions menu, which offers the following options:

  • Deactivate/Activate Users – Temporarily disable or restore a user’s access.
  • Delete Users – Removes a user, updating their status to Deleted. An administrator can reactivate deleted users later.
  • Reactivating a Deleted User – If a deleted user is reactivated, they are treated as a newly added user and must be reconfigured accordingly.

Import Users

Users with access to the User Management module can add multiple users at once using the Import Users option.

How to import users

  1. Navigate to Administration → User Management → Users

  2. Select Add User ▸ Import Users

  3. Download the sample file or export the existing user list

  4. Update the file and upload it using the Import Users dialog.

Import rules and behavior

  • Required fields: First Name, Last Name, Email Address, User Group, Status

  • Optional fields: Start Date, Expiration Date

  • Editable fields: First Name, Last Name, Status, User Group, Start Date, Expiration Date

  • Email Address cannot be updated for existing users

  • Status is optional. If omitted for new users, the system applies the default status.

  • If a user is imported with a status of Active or Invited, the system applies the same invite behavior as updating the user through the UI.

  • Start Date and Expiration Date are optional and can include past dates

  • Only the users included in the import file are processed.

  • Users not included in the file remain unchanged

  • Removing a user from the file does not delete or deactivate the user

  • Note: Import user does not support Delete Status.

Mass Update (Bulk Action)

Users with access to the User Management module can update multiple users at once using Mass Update from the Users page. This simplifies managing multiple users without updating each user individually.

Supported mass updates include:

  • Activate users

  • Deactivate users

  • Update user group

  • Update expiration date

  • Delete users (based on user status)

  • Re-send invites (only for users in Invited status)

Behavior

  • Available mass updates are enabled or disabled based on the selected users’ current status

  • For example, Re-send Invite is available only when all selected users are in the Invited status

  • All mass updates follow the same validation rules, permission checks, and audit behavior as individual user updates

Note: User creation is subject to plan-based limits.

  • Professional plan: Up to 2 Editor Users and 20 End Users
  • Teams plan: Up to 10 Editor Users and Unlimited End Users
  • Enterprise plan: Unlimited Editor and End Users
    If the maximum number of users is reached, administrators will need to upgrade their plan or contact Customer Success.
